The POS Types list is limited to 7: Restaurant, Bar, Spa, Tours, Laundry, Shop and Others. Depending on your hotel facilities, you can activate or disactivate them in one click.

The Info tab of the POS menu stores general information about the POS such as its name, person in charge, contact info, a brief description of it in terms of services and two very convenient fields to personalize the services offered:

1. Bill Greetings: a sentence which will appear at the bottom of the POS invoices such as “Thank you! Please come again!”
2. Bill Prefix: in order to facilitate the reconciliation of all POS invoices by your accounting department, we recommend you to accept a 3-letter prefix for your invoice, different for each of your POS, for example “RES” for Restaurant, “SPA” for Spa, “LAU” for laundry, etc.

Depending on the size of your POS, you may feel necessity to organize the production of your services in different locations.

We call these locations “Places of Production”. For example, in a restaurant, you may desire to split the kitchen in 2 parts and have the bar separate from the kitchen.

Just find a name for them and enter them into this functionality.

By making this decision, PMShotelier will facilitate the work of your staff by automatically splitting the orders and directing them to the right person in charge of the production.

It is another important functionality of PMShotelier thanks to which any POS order can be easily retrieved from a detailed list using a powerful search engine.

The following information is available and downloadable in the Excel format: Booking Order, Guest’s Name, Room, Room Service, Bill Date, Staff, Amount, Means of Payment, Bill Status (Signed or unsigned).

From the Excel file, it is very easy to extract some key statistics.

The main purpose of this functionality is to evaluate the best sales on a given period. You just have to enter the period, category, subcategory and item, and the system returns the performance in terms of quantity sold, revenue and preferences of the guests. It is very useful for fine-tuning your POS operations.

As a part of the Manage POS functionality, this Staff functionality allows you to allocate to your POS staff precise responsibilities and access rights to the system.

As such, it complements the Manage Staff functionality of the main menu.

1. You first have to define the Role Type (Waiter or Producer) and the Role Name.
   This distinction between Waiter and Producer is important: when an order is taken at the restaurant, it automatically splits and sents to the right place of production. In order to prevent the waiter from getting an order that has to go to the producer, we created this distinction very useful in the field;
2. If you choose Waiter, it will have 2 consequences:
   1. the further field Place of Production will be hidden.
   2. At the bottom of the Add New POS Staff, the POS permissions section appears where you can decide which POS functionality will be accessible to the waiter.
3. On the contrary if you choose Producer, you have to precise where is the Place of Production and the POS permissions section is hidden;
4. Enter personal information and password.

This functionality is called Menu for Restaurants and Items for all other POS.

In both cases you can create as many items as you want and sort them by Categories and Sub-categories.

For example, for a restaurant, you may decide to create:

1. 2 categories such as Food and Beverages;
2. For the Food, 3 subcategories such as Entrées, Main Course and Desserts;
3. For the Beverages, 2 subcategories such as Alcoholic and Non-alcoholic;
4. And as many Items as necessary in each subcategory.

You should pay a special attention when entering the description of the items:

1. Each item should be correctly allocated to a category and a subcategory;
2. Its name should be the same as the one printed in the menu given to the guest, i.e. non-ambiguous and understandable for the waiter;
3. The price field should be filled without tax;
4. The tax field should be filled according to what has been entered in the Settings functionality. Depending on the country where your hotel/restaurant is located, the taxes on food and beverages are sometimes different. This feature is totally taken into account in PMShotelier. Just create first the different applicable taxes in the Settings functionality and allocate the correct one to each and every item of your menu. As a result, the final bill to the guest will display all the details of the tax calculation;
5. The Place of Production field is working in tandem with the Staff functionality: the items of a given order will automatically be split and directed to the right Place of Production, i.e. to the right person according to his/her profile defined in the Staff functionality.
